Advanced Conflict of Interest Check (COI)
Important Note: This is feature is a paid module.
Please contact support@lex247.com if you are interested in turning this functionality on.
Our new evolved COI engine looks beyond direct parties. While the previous system focused on Client vs. Opponent (and vice-versa) matches, the Advanced COI Check now analyzes the entire relational web of your data including Related Entities and Related Companies.
How it works:
The system will automatically cross-references not only Client vs Opponent, but any Related Entities and Related Companies of those Clients and Opponents added to a new Case.
The system then presents the findings through a brand new User friendly interface for review.

Direct Hits: occurs when the system identifies an exact match between a party in a new Case and an existing record in LEX where their roles are adverse.
For example,- Adding
John Doeas an Opponent; whereJohn Doeexists as a Client in LEX... the COI engine will flag this as a Direct Hit becauseJohn Doealready exists as a Client in earlier Cases.

Indirect Hits: occurs when the system identifies a potential conflict through a secondary relationship, such as a parent company, subsidiary, affiliate, related entity, client contact, etc, that is linked to either the Client or Opponent being added to the Case.
For example,- Client
John Doehas a Related EntityJane Doe. AddingJane Doeas an Opponent will flag this as an Indirect Hit becauseJane Doehas a relationship to ClientJohn Doe.

Conflict of Interest Dialogue
The new interface are sectioned off into two main areas; Search Criteria and Search Results.

Search Criteria: here is where you can add/remove Clients and Opponents to be added to the conflict search. From here, you can do the following.
- Add/Remove Clients
- Add/Remove Opponents
- Add/Remove Related Entities
- Add/Remove Related Companies (only for Client/Opponent Companies)
- View Client Related Entities
- View Client Related Companies (only for Client Opponents)
- View Opponent Related Entities
- View Opponent Related Companies (only for Company Opponents)
- Search Results: here is where the results of the conflict check will be displayed.
The Search Results will have three Tabs; Conflicts, Blacklists and Similar Entities.
- Conflicts: is where both the Direct and Indirect conflict results are displayed.
- Blacklists: if you have Blacklists setup, any of the Entities added in the Conflict of Interest Check will be displayed here.
- Similar Entities: if either the Client or Opponent that was added and already exists in the system (with the same name, similar name, or identical identification number, will be displayed here.
Important Note:
For Similar Entities, this is a one of several safe guards added to avoid duplication of Entities in LEX.
The intent of this feature is for the end-User to go back and correct it, by removing the Client/Opponent that were added and instead select the already existing entity accordingly. This can be ignored if the Similar Entities displays an entity with a similar name.
When viewing the Clients, Opponents, and Cases within the Search Results, you can expand the details of the Client or Case to see more details of that Client/Opponent or Case.
Client Details
Expanding the Client Details will provide with additional information about the Client. Such as;
- Hit Information: displays the reason for the hit.
- Alias: (if any) alternative identifiers for a Client (such as DBAs or trade names).
- Number: this is the Client Number.
- Client Managers: lists comma separated all Client Manager(s).
- Billing Unit: displays the Billing Unit the Client belongs to.
- Business Unit: displays the Business Unit the Client belongs to.
- Business Unit Manager: (if any) name of the User who is the Business Unit Manager.
- Last Invoice Date: displays the last time the Client was invoiced.
- Last open Case Date: displays the last time a Case was opened for the Client.
- Last Reported Time: displays the last time a Time Record was recorded for the Client.

Relationship Path: displaying where the potential conflict came from.
Case Details
Expanding the Case Details will provide with additional information about the Client. Such as;
- Number: this is the Case Number.
- Clients: lists comma separated all Client(s) in the Case.
- Opponents: lists comma separated all Opponent(s) in the Case.
- Case Managers: lists comma separated all Case Manager(s) in the Case.
- Billing Unit: displays the Billing Unit the Client belongs to.
- Last Invoice Date: displays the last time the Case was invoiced.
- Business Unit Manager: (if any) name of the User who is the Business Unit Manager.
- Business Unit: displays the Business Unit the Case belongs to.
- Last Reported Time: displays the last time a Time Record was recorded in the Case.
In addition to the above, every entity (Client, Opponent, Case, Related Entity/Company) can be directly viewed by clicking the Open Tab icon. Which will open a new tab in your web browser directly to the entity clicked.
Furthermore, you can have more control over the Conflict Results by marking a Client/Opponent or the Cases as either Obstacle or Not Relevant.
- Obstacle: is used when a search result reveals a legitimate conflict or a potential ethical risk.
- Not Relevant: is used to clear "False Positives" or matches that, while technically a hit in the database, do not pose a legal or ethical conflict.

Client Card: Time Records-view
We have extended the Time Records-view to Client Card, providing the same visibility you currently enjoy on Main Card and Case Cards. This allows you to track and manage time entries directly at the Client level.
Users who are not Client Manager or Case Manager
Will only see their own Time Records (Journal-view only) associated with the Case(s) of the Client being viewed.
Case Manager(s)
Users who are Case Manager can see and manage only see Time Records reported on Cases that they are managing.
Client Manager(s)
Users who are Client Managers can see and manage all Time Records associated with the Clients Cases.

Client Card: Expenses-view
We have extended the Expenses-view to Client Card, providing the same visibility you currently enjoy on Main Card and Case Cards. This allows you to track and manage expenses directly at the Client level.
Users who are not Client Manager or Case Manager
Will only see their own Expenses (Journal-view only) associated with the Case(s) of the Client being viewed.
Case Manager(s)
Users who are Case Manager can see and manage only see Expenses reported on Cases that they are managing.
Client Manager(s)
Users who are Client Managers can see and manage all Expenses associated with the Clients Cases.

Client/Case Tags
Both Client Notes and Case Tags have been updated, with minor changes.
New Look
The User Interface (UI) for Client Tags and Case Tags have been updated with a cleaner, more User friendly UI.
Client Tags or Case Tags that are coloured, will now show in the drop-down list on the left.
Creating New Case/Client Tags with Colour
When Users create new Client Tags or Case Tags, they now have the option to select a colour for the tag.
Other than what is displayed above, the functionally remains unchanged otherwise. Client and Case Tags created by Users are only selectable by those Users. To use Tags globally across the entire law firm, they must be Approved in the Control Panel.

Previous Releases
Attention-view
The new Attention-view feature provides a centralized hub for Administrators to see all of the system and integration errors in LEX247. Where they can either Retry the command or ignore it.
This feature can only be found on the Main Card, Attention-view. Accessible to only Users with the 'Administrator'-right.
Clicking on this view will look like this.
You can now easily review and manage all errors originating from LEX247 or your integrations in one centralized location.
For errors that can be retried, simply click Retry. For others, you can analyze the error details and take appropriate action. Once an issue is resolved, or if an error is a false positive, you can simply Disregard it.

Custom Invoice Email Body
With Custom Invoice Email Body text, Administrators can now personalize the content of invoice emails, ensuring tailored communication that follows the Client-language configuration. Invoice Emails can be setup in multiple languages.
When Invoices are Finalized and an email is sent from LEX247, the specific language template will be used to send to your Client based on their Client-language set up in the Client Card > Details-view > Language.

Finalize Invoice Dialogue
This update focuses on enhancing the User Interface (UI) for Finalizing Invoices, providing a smoother and more modern experience without altering existing functionality.

Invoices: Attach & Send Expense Attachments
Accounting-Users can now seamlessly include Expense attachments when Finalizing Invoices, ensuring all relevant documentation is sent directly from the system.
When an Invoice contains an Expense, which has an attachment, clicking Attach & Send Expense Attachments (X Expense(s) with Attachment) and then Finalize will attach the Expense attachment with the Invoice PDF when an Invoice email is sent from LEX247.

Invoices: Clear all Time-level Fees
To improve efficiency when managing invoices with multiple time records that have a Time-level fee applied, a new button has been added to quickly clear all time-level fees.
This button only appears if the Invoice contains Time Records with 1 or more Time-level fees.

Advanced Payments: Send via Email
You can now send Advanced Payment Invoices directly via email from within the system. This works just like sending finalized invoices by specifying an email address.
Client Duplication Merge
This feature simplifies the process of identifying and consolidating duplicate Client(s) in LEX247, saving you time and improving data integrity.
The feature provides a streamlined, three-step workflow to manage duplicate client records;
- Export Duplicates
- Edit Instructions
- Upload and Merge
The exported file will only include system-identified duplicates
Merging Clients is an irreversible process, so you should carefully review the changes in the Excel file export before importing.
