To close or archive a case, head over to the Case Card, Details-view, and click on the Close Case button at the bottom of the window.
After clicking on the button, the following dialogue will appear.
If there are unbilled records within the case, the dialogue will warn you, and let you know the total hours and their worth.
You can select an action on what to do with the time records, you can either:
1. Take no action
Selecting this will leave the assets as is in the case. These assets will still show up in reports but not show up in the Time Records-view or Expenses-view; since they cannot and will not be billed.
If you wish to bill the assets to your client under this case, you will need to first create an invoice, approve and finalize it, then send it before you can close the case.
2. Move assets to a different case
Selecting this will allow you to choose a case to move the assets to.
In the drop-down dialogue, you can select a case by typing the case name or the case number.
3. Delete assets
Selecting this will delete the assets, these assets will then not show up in reports.
After selecting an action for unbilled assets, you can write a Comment in the box.
You can also assign an Archive Number by clicking on the Wand-icon ().
This will start from 0001, but if you have used this function before, it will select the next available number. You can also put your own Archive Number in the text box.
After you are done, click on the Close Case button and the case will be closed/archived.
The Case Card will update and then the Closed status will appear on the top left of the header. The Archive Number will also appear on the top right of the Card.
If the case has an invoice in either Draft-state or Approved-state, you will not be able to close the case. You will be given a warning as below.
If this is the case, you will need to Resolve the invoice or Finalize it before you can attempt to close/archive the case.
Note:
1. Ensure you are either a Client Manager, Case Manager or User with 'Assistant'-role setup to be able to close or archive a case.
