An Activity Type is a specific type of action performed when reporting an asset. It could be a Time Record, an Expense, or a Task in the system.
To add or create a new Activity Type, head over to the Control Panel, under the Data Types section, then click on Manage Activity Types.
The list of existing active Activity Types will appear, click on the Add Activity Type button.
The following dialog will appear.
Fill in the necessary information as follows:
1. Language
This field is mandatory.
Here is where you can change the default language for the new Activity Type from the system language to any language you want.
To make the new Activity Type multilingual, simply enter the information in the default language, then select another language and enter the information again.
2. Name
This field is mandatory.
Here is where you can name the Activity Type that is being created.
Once you have given the Activity Type a name, it will appear in the display name of Time Records, Expenses, and Tasks under the Activity Type available in the following entities field.
3. Number
Here is where you can enter any number for the new Activity Type.
4. Number Generator
Here is where you can generate a number for the new Activity Type.
5. Available In Practice Areas
Here is where you can specify whether the new Activity Type will be available in all Practice Areas, in one or more specific Practice Areas, or in all except the specified Practice Areas.
6. Activity type is available in the following entities
Here is where you can specify whether the new Activity Type will be available in the Report Asset dialog as a Time Record, an Expense, a Task in the Create Task dialog, or all of them.
- Time Records
Deselect this if the new Activity Type will not be available as a Time Record.
- Display Name
Here is where you can change the name of the new Activity Type from the default name you created in 1. If the Activity Type is multilingual, you must enter a name for each language. - Default Description (Optional)
Here is where you can enter the default description when reporting the new Activity Type.
- Display Name
- Tasks
Deselect this if the new Activity Type will not be available as a Task.
- Display Name
Here is where you can change the name of the new Activity Type from the default name you created in 2. If the Activity Type is multilingual, you must enter a name for each language. - Default Description (Optional)
Here is where you can enter the default description when reporting the new Activity Type.
- Display Name
- Expenses
Deselect this if the new Activity Type will not be available as an Expense.
- Display Name
Here is where you can change the name of the new Activity Type from the default name you created in 3. If the Activity Type is multilingual, you must enter a name for each language. - Default Description (Optional)
Here is where you can enter the default description when reporting the new Activity Type. - Debit Account
Here is where you can enter a debit account number which will be sent to the accounting system when the invoice is finalized. - Credit Account
Here is where you can enter a credit account number which will be sent to the accounting system when the invoice is finalized. - Expense is Exempted from Outgoing VAT
Deselect this option if the Activity Type will be exempted from Outgoing VAT.
- Display Name
7. Is Billable as Default
Deselect this option to make the new Activity Type not billable by default.
If you want to make the new Activity Type multilingual, select another language and repeat the process. If the new Activity Type supports multiple languages, a list of all languages supported will be displayed, as shown below.
After filling in the information, click on the Create button.
Then click on the OK button and you are done.
Note:
1. Ensure that you are a User with 'Administrator'-rights set up to be able to access Control Panel.
